Every sitter collects their own images

There is no distribution step. Each person books their own window, approves their own frames, and is told when their finished images are ready to download, in every format, from their own gallery.

Booking a window

Once a day is contracted, the firm circulates one link. Each person chooses a ten-minute window, enters their full name, mobile number and email, and receives a confirmation by email and text with the time, the room, the floor contact, a calendar file and their sitter number. They can move their window until 24 hours before the day. The firm's administrator can instead upload a list and allocate the windows, in which case each person receives their time with a one-tap "keep this time". Taken windows never show colleagues' names.

On the day

The photographer's running order shows who is next, by name and sitter number, so there is no queue and no calling of names across an office. Each person checks in with the QR code on their phone or by name, is photographed, approves their frames on screen, and leaves. The approval is recorded against their sitter number.

When the images are ready

Each person is notified by email and text, with a link to their gallery. The gallery shows the frames they approved, each finished image by placement with its size and intended use, a "download all formats" button and the usage note. A re-edit can be requested once within seven days.

What a sitter sees

No distribution step. The evening of the day, each person sees the frames they approved; within ten working days their finished image is in every format, at full resolution, behind their own sitter number.

What does it cost?

GBP 2,950 plus VAT for a Standard Day of up to 40 people. Everything is priced by the day and sold to the firm; nothing is sold per person.

How long is each person away from their desk?

Ten minutes. Five or six of them are in front of the camera; the rest is walking there, approving the frames on screen and walking back.

A day at your office

What does the room need?

A meeting room of about four by three metres with two sockets, and battery lighting if there are none. The studio is up in 30 minutes and down in 20, and nothing is left behind at lunchtime.

Proofs of the approved frames on the day. The full finished set, in every placement format, through the sitter portal within ten working days.

What happens when someone joins next month?

Their session is matched to your written Standard, at the next programme day or at a catch-up session, so the new image sits in the set without looking new.

Who else has used you?

Corporate headshot work to date includes a global employment platform, a software company and a multi-family office; a firm is named only once it has agreed in writing. The Managing Director's portrait work has been exhibited at the National Portrait Gallery and her commercial clients include Formula E, Porsche and Aston Martin.

For the firm's administrator

A dashboard with every day, every person and their status: booked, checked in, photographed, approved, in finishing, delivered. The roster with search and department filters. Bulk download of a day or the whole firm, named to the firm's convention. The Standard document and the agreement. Add joiners to the next day, request a catch-up session, or ask for a person's data to be deleted.

Data

The company is a processor of each sitter's name, email, mobile number, title and images on the firm's instructions. Data is held for the life of the agreement plus 24 months so later joiners can be matched, then purged; any sitter or the firm can ask for deletion at any time. There are no passwords to leak, no sitter data in analytics tools, and every download is logged.

Questions people ask

Where do I find my sitter number?

On your booking confirmation and every reminder, and on the screen when you were photographed. It looks like TCHC-ACME-2701-017. If you have lost it, enter your email on the login page and we send your gallery link.

Is there a password?

No. You log in with your sitter number and a six-digit code sent to your email or phone, or with the link in any notification we sent you.

How long can I download my images?

For 90 days after delivery as standard, and for the life of the firm's agreement where the firm is on a programme. Your administrator can ask us to extend it.

What does our administrator see?

Every person's status on the day and afterwards, the roster, the Standard document, and a bulk download of the whole firm's finished images named to your convention. Administrators do not see anyone's gallery unless the firm's agreement says so.
